What we collect and where from

When you contact the hotel directly, we receive the information you choose to share. The contact form sends your name, email address, optional phone number and message. When you use Book now, your arrival and departure dates, number of guests and selected room are written into an editable message on Contact. Sending it also sends a booking request marker so the hotel can distinguish it from an ordinary message. The newsletter form sends your email address and confirmation of your subscription consent, together with a newsletter request marker. Forms also send anti-spam timing and verification fields. The form server receives your IP address and the website origin; the supplied Cloudflare form handler includes them in the message delivered to the hotel. If its optional rate limit is configured, it temporarily uses your IP address to limit repeated submissions.

What we use it for

We use your details to answer hotel enquiries, check availability, arrange a stay or service and handle your booking. A request through this website is not a confirmed reservation; our team replies to confirm availability and arrangements. We do not sell your details. If you subscribe, we also use your email address to send the hotel news you requested. You can withdraw your consent at any time by contacting us.

Legal basis

We process enquiries and booking requests to take steps at your request before a contract and, when you book, to perform that contract (Article 6(1)(b) GDPR). Where a legal obligation applies to booking or accounting records, processing is based on Article 6(1)(c). We process technical submission data to protect the forms against spam and misuse on the basis of our legitimate interests (Article 6(1)(f)). Newsletter subscriptions rely on your consent (Article 6(1)(a)); withdrawing it does not affect the lawfulness of earlier processing.

How long we keep it

We keep hotel enquiries, booking requests and related correspondence for two years after our last contact with you. We then delete them, except where the law requires booking or accounting records to be kept longer. We keep newsletter subscription details while you remain subscribed; after withdrawal, we stop sending news and retain only any record needed to demonstrate or honour your request.

Who else sees it

The providers that host this website, process form submissions and deliver email may receive the details needed to provide those services:

  • Cloudflare Pages — the provider that hosts this website. Like any server, it sees technical details of each visit, such as your IP address.
  • The provider of our mailbox, where your message arrives.

We do not pass your details to anyone else unless the law requires us to.

Cookies and analytics

This website sets no cookies and does not track visits. Fonts, images and styles are stored on the website itself. Submitting a form connects to the form service configured by the hotel so that it can deliver your request. When calendar availability is enabled, the booking strip asks the hotel’s form service for booked dates and a selected room identifier before opening Contact. Calendar addresses and event details are not published.

Your rights

You have the right to know what details we hold about you and to get a copy, to have them corrected or deleted, to restrict how we use them, to object to it, and to receive them in a form you can take elsewhere.

Just write to stay@wrenfold.example. We will reply within one month.

If you are not satisfied

If you are unhappy with how we handle your details, write to us first — we will gladly explain and put it right. You also have the right to complain to the data protection authority in your country.
